This notice explains, under Article 10 of the Turkish Personal Data Protection Law No. 6698 ("KVKK"), how we process the personal data you send us through maviceviri.com (the "Website") and our other contact channels.

Data We Collect
We only receive the information you send us:
- Quote form: Name, email, phone, language pair, service, your message and the document you attach.
- Email and WhatsApp: Your messages, contact details and the documents you send.
- Orders and invoices: Name/company name, address, tax number or Turkish ID number and payment details needed for invoicing (card details are not stored).
- Server logs: For security, the server hosting the Website keeps technical logs such as IP address, date and time of visit, page requested and browser details.
Data is collected electronically, by automated means (form, email, WhatsApp, server).
About your documents: The documents you send may contain personal data about you or others, sometimes special categories of data such as health information. We use them only for the translation.
Purposes and Legal Bases
We process your data for the following purposes and on the legal bases stated (KVKK Art. 5(2)):
- Preparing a quote and getting back to you. Legal basis: entering into a contract (c).
- Translating and delivering your documents; handling notarization and apostille you request. Legal basis: performance of a contract (c).
- Invoicing and keeping legal records. Legal basis: legal obligation (ç).
- Protecting our rights in case of a dispute. Legal basis: establishment, exercise or protection of a right (e).
- Keeping the Website secure. Legal basis: legitimate interest (f).
We do not use your data for marketing, newsletters or advertising.
Who We Share Data With
We do not sell your data or documents. We share them only as needed, in these cases (KVKK Art. 8):
- Translators: Your document may be shared with the freelance translator working on it, for that job only and under a written confidentiality obligation. (Performance of a contract)
- Notaries and public authorities: For services you request, such as notarization or apostille. (Performance of a contract)
- Service providers: Our website host (Veridyen, Türkiye) and our email provider Google (see Article 5), only as technically required. (Performance of a contract, legitimate interest)
- Accountant: For invoicing and accounting records. (Legal obligation)
- Competent authorities and courts: Only when legally required. (Required by law, legal obligation)
Transfers Abroad
Our email service is provided by Google (Gmail / Google Workspace). The information and documents you send us by email may therefore be stored on Google's servers abroad.
If you choose to contact us via WhatsApp, your messages pass through WhatsApp (Meta) infrastructure and may be processed on servers abroad, under that service's own privacy terms. You choose this channel; you can also reach us by phone.
Retention Periods
- Quote messages, documents and translations: Kept for as long as the job requires; you can ask us to delete them.
- Invoices and accounting records: kept for the legal retention period.
- Server logs: Kept for the period set by the hosting company for security purposes.
When the period ends, data is deleted, destroyed or anonymized (KVKK Art. 7).
Cookies and Tracking
- The Website does not track visitors.
- No analytics tools (such as Google Analytics), advertising pixels, social media plugins, or tracking, analytics or advertising cookies are used.
- All site files, including fonts, are served from our own server; no third-party services are embedded in the pages.
This site does not use cookies.
Security
We take appropriate technical and administrative measures to protect your data (KVKK Art. 12): encrypted connection (HTTPS), access limited to authorized persons, and written confidentiality obligations for translators. No transmission over the internet can be guaranteed to be completely secure.
Your Rights
Under KVKK Art. 11, by applying to us, you can:
- Learn whether your personal data is processed,
- Request information if it has been processed,
- Learn the purpose of processing and whether it is used accordingly,
- Know the third parties, in Türkiye or abroad, to whom it has been transferred,
- Request correction if it is incomplete or inaccurate,
- Request deletion or destruction under the conditions of KVKK Art. 7,
- Request that the actions in items 5 and 6 be notified to the third parties to whom the data was transferred,
- Object to a result against you arising solely from automated analysis,
- Claim compensation for damage caused by unlawful processing.
How to Apply
You can send your request in one of these ways (Communiqué on the Procedures and Principles of Application to the Data Controller, Art. 5):
- In writing: you can send a signed letter by post. Please request our postal address at info@maviceviri.com.
- By email: to info@maviceviri.com, from the email address you previously gave us and that is in our records.
Your request should include your name, national ID number (for foreigners: nationality and passport number), address, contact details and your request. We will respond within 30 days at the latest, as a rule free of charge (KVKK Art. 13). If you find our reply insufficient, you may file a complaint with the Turkish Personal Data Protection Board (KVKK Art. 14).
